By visiting, using or ordering from this website, you expressly agree to be bound by the following terms and conditions and to adhere to these Terms and Conditions and all applicable laws and regulations governing this web site.

THE PROVISION OF HOSPITALITY PACKAGES AND RELATED HOSPITALITY SERVICES BY EVENTS INTERNATIONAL LIMITED ARE EXPRESSLY CONDITIONAL UPON THE BOOKING TERMS AND CONDITIONS SET FORTH BELOW (ALSO REFERRED TO AS THE "CONTRACT"). ANY TERMS AND CONDITIONS PROPOSED BY YOU IN ADDITION TO, OR IN CONFLICT WITH THESE BOOKING TERMS AND CONDITIONS ARE EXPRESSLY REJECTED BY EVENTS INTERNATIONAL LIMITED.

TERMS AND CONDITIONS OF BOOKING

We detail below the terms and conditions on which Events International Limited take bookings and make arrangements on behalf of its clients. We do not accept any bookings on any other terms.

Party details

Your booking is with Events International Limited, a member of the Travelopia group of companies with registered number at 01956764 and with registered address at Origin One, 108 High Street, Crawley, West Sussex RH10 1BD (“we”, “us”, the “Company” or “our”). References in this agreement to “you” and “your” include you, as the “Lead Name” and any person(s) travelling with you as part of your booking.

Your booking

The contract between you and the Company in respect of the event(s) specified in the booking form (“the Event”) shall be created and come into force at the time of our acceptance of your booking made via a duly submitted booking form and our subsequent issuing of our booking confirmation and invoice to you (“the Booking Confirmation”).   If for any reason we cannot accept the order we will promptly refund to you any payments that may have been debited using your chosen payment method. As well as a Booking Confirmation we will issue you with a confirmation VAT invoice.

By placing the booking you agree to be bound by the terms set out in these terms and conditions in respect of the booking and we do not accept bookings on any other terms. In the event that there is any conflict between these terms and conditions and any other terms or documentation (such as the booking form or the Booking Confirmation) then these terms and conditions shall prevail.

The Lead Name must be 18 years old or over and when you make the booking you guarantee that you have the authority to accept and do accept on behalf of any other persons within your party these terms and conditions. All other person(s) as part of your booking will be bound by these terms and conditions and it is the Lead Name’s responsibility to bring the same to the attention of each individual.

Whether you book alone or as a group, we will only deal with the Lead Name in all subsequent correspondence, including changes, amendments and cancellations. The Lead Name is responsible for ensuring the accuracy of any personal details provided to us or any other information supplied in respect of yourself and any other person and for passing on any information regarding the booking or any changes made in relation thereto, to all other persons interested in the Event. The Lead Name shall remain responsible for all sums owed to us as set out in the Booking Confirmation.

The Booking Confirmation shall set out the services which comprise the Event and no other services which are not specified on the Booking Confirmation shall be included within your booking. It is your responsibility to carefully check the Booking Confirmation to ensure that it fits your needs. In the event that there are any inaccuracies contained within the Booking Confirmation then it is your responsibility to notify us immediately.

Unless expressly specified in the Booking Confirmation, your booking does not include any transportation services and it is your responsibility to arrange your own transportation to the Event. We will not pay for any transportation services which are not expressly included in the Booking Confirmation and accept no liability in respect of any third party transportation services.

If, after the date of the Booking Confirmation, you wish to add any additional extra services to the booking, these will be payable in addition to the sums stated on the Booking Confirmation and shall be payable upon presentation of that invoice in respect of the additional services.

Payment

Upon the date the Booking Confirmation is received by you, a deposit payment of 25% (or such other amount as is agreed between us and you in writing) (“the Deposit”) of the total amount stated on the Booking Confirmation is payable by you.

The balance of the fees in respect of the booking shall be payable by no later than 12 weeks before the commencement of the Event (“the Balance Due Date”). However, you may make any additional payments between the date of the Booking Confirmation and the Balance Due Date as you wish to do so.

If the booking is made within 12 weeks prior to the commencement of the Event then the Balance Due Date shall be the same date as the issuance of the Booking Confirmation. This means that the full payment is required to confirm your booking, unless otherwise agreed.

Should the total balance of the booking not be paid by the Balance Due Date then we shall be entitled to treat your booking as cancelled and the cancellation charges at set out in clause 5.4 below shall be payable.  

The Company reserves the right to withhold any tickets, passes, confirmations or any other documentation / information until all fees in respect of the booking have been paid in full.

All prices which are stated on the Booking Confirmation are subject to VAT. We reserve the right to alter any published or confirmed prices at any time prior to the commencement of the Event in order to cover any increase in the costs of any (including any part) of the Event or your booking which are beyond our control at the time of the Booking Confirmation.

The Event and third parties

We will provide the services as stated in the Booking Confirmation to the best of our ability. However, we are unable to provide any guarantees whatsoever about the Event (including, but not limited to, dates and/or timings) and these are liable to change at the discretion of third parties beyond our control. The Company is therefore not able to guarantee the date of the Event and the date of the Event is not intended to be a condition of the booking.

However, we shall use our reasonable endeavours to procure that the provider of the Event provides the services stated in the Booking Confirmation in accordance with the estimated timetable and in the event of any amendments to the Event which are beyond the reasonable control of the Company we shall, where possible and available, endeavour to provide you with alternative services which are as close a match as is reasonably possible to the Event.

Additionally, we are unable to guarantee that the Event will actually take place. Should the Event be cancelled or postponed then we will only refund to you whatever refund the Company shall receive from the organiser or third party provider of the Event. In the event that no refund is received from the event organiser or third party provider then we shall not be required to provide a refund to you of any sums which are paid. It is your responsibility to adequately insure yourself against any postponement or cancellation of any (or all) of the Event.

The Event may be governed by terms and conditions of the provider of the Event. These terms and conditions will be binding on your in respect of your attendance of the Event. If applicable, and provided that such terms and conditions are provided to the Company, these will be provide to you in advance of the Event.

The Company in making arrangements on behalf of its clients, contracts with third parties for provision of all of the necessary facilities including the provision of tickets for entry to the event/occasion. In doing so it is expressly agreed that the Company acts only as agent of the client and that no liability of any kind howsoever caused shall attach to the Company in connection with or arising out of such arrangements. The contract with the Company and the client shall be subject to any terms and conditions with third parties.

Cancellations to the booking

You are entitled to cancel the booking at any time however this will be subject to cancellation charges in accordance with this clause 5. You are advised to take out and maintain appropriate insurance for the booking and if the reason for your cancellation is covered under the terms of your insurance policy, you may be able to reclaim any cancellation charges.

Without prejudice to clause 5.1, you may cancel the booking without paying cancellation charges if the performance of the Event is significantly affected by a “Force Majeure Event”, in which circumstances we will only refund to you whatever refund the Company shall receive from the organiser or third party provider of the Event. In the event that no refund is received from the event organiser or third party provider then we shall not be required to provide a refund to you of any sums which are paid. It is your responsibility to adequately insure yourself against any postponement or cancellation of any (or all) of the Event.. A Force Majeure Event shall include but shall not be limited to: war, threat of war, natural or nuclear disaster, serious security problems such as terrorist activity, civil unrest or events arising out of political instability, industrial dispute or strikes, or bad weather (actual or threatened).

In circumstances where travel services are not included as part of your booking we advise that you do not make your own travel arrangements or any connecting travel that is non-refundable or non-changeable or incurs penalties or incurs any costs, until such time as an exact date for any or all of the Event is confirmed by the third party event provider. If you make such arrangements which you are then unable to use due to a change in your itinerary we shall not be liable to you for the cost of those arrangements.

You may cancel your travel arrangements at any time. Written notification from the Lead Name must be sent to our offices or sent by email to [email protected]. Since we incur charges in cancelling the booking, you will have to pay cancellation charges as follows:

if you cancel after the date of the Booking Confirmation but prior to 12 weeks before the commencement date of the Event, the total cancellation charges shall be limited to the amount of the Deposit; or

if you cancel within 12 weeks of the commencement date of the Event, the total cancellation charges will be all sums paid to us to secure the booking as set out on the Booking Confirmation. In the event that you have not paid any balance due in respect of the booking by the Booking Due Date then you will still be liable to pay any balance which would have been due by the Booking Due Date but for the cancellation.

Changes to your booking

If, after the Booking Confirmation has been issued, you wish to change the booking in any way we will do our utmost to make these changes but it may not always be possible. Any request for changes must be in writing from the Lead Name. You will be asked to pay an administration charge of £20.00 for each requested change, and any further cost we incur in making this alteration (including those charged by third party suppliers who provide the component parts of the Event).  You should be aware that these costs could increase the closer to the commencement date of the Event that changes are made and you should contact us as soon as possible should you wish to make any changes to your booking.

Although we will do our utmost to make any requested changes subject to the payment of the administration charge(s), some parts of your booking may not be changeable after a reservation has been made and any alteration request could incur a cancellation charge of up to 100% of the total cost of your booking.

Liability

The Company has no control over the running of any part of the Event and accepts no liability for any acts or omissions on the part of persons organising any (or all) of the Event or their agents, employees, representatives, or sub-contractors and makes no representation that any individual artist, performer, player, sportsperson, or participant shall appear at the Event.  

Our role in selling the Events is as an official re-seller only and we shall not be liable for any matter that is beyond our control, and we shall not in any circumstances be responsible for any losses that may be incurred by you or any of your party. We cannot guarantee the quality or the experience of the Event and any liability in that respect is excluded to the fullest extent permitted by law. Nothing in these terms and conditions is intended to seek to limit our liability in cases of personal injury or death.

We shall also not be liable for any losses (whether direct or indirect) that you may incur as a result of any act, omission or negligence by any third party beyond our control.

Data protection

We will use and process your data in accordance with our privacy policy which be found here https://eventsinternational.co.uk/policies/privacy/privacy-policy.

General

Variation. We reserve the right to modify these terms (or any part of these terms) at any time. If we modify these terms, the latest available version will be available on our website at https://eventsinternational.co.uk/policies/events-international-limited-booking-terms-conditions and shall automatically apply to you and your booking with immediate effect. This agreement, including the Booking Confirmation and the Booking Form, comprises the entire agreement between us and you in respect of the booking.

Notices.  Any notice required to be given hereunder shall be made in writing to the address stated in the Booking Confirmation or by email.

Law and jurisdiction. The booking and any claims or matters (including non-contractual claims and matters) arising in respect of the booking are governed by English Law. You agree that the English Courts shall have exclusive jurisdiction in respect of any disputes which may arise in respect of the booking (including non-contractual disputes and claims).
